- The types of data we collect
We collect and process different kinds of personal data depending on how you interact with us:
Enquiry & Contact Data – name, email address, and any information you include when you request coaching or submit a form.
Booking & Session Data – scheduling information, time zone, package selections, notes you choose to share to prepare for sessions, and administrative records (e.g., invoices).
Coaching Working Notes – brief session notes used to track goals, agreed actions, and progress. These are confidential and held securely.
Communications Data – emails between you and us, including coaching support between sessions.
Marketing Preferences – whether you’ve opted in to receive occasional updates (newsletter, resources).
Website Technical Data (if analytics/cookies enabled) – IP address, device/browser type, and interaction data. We collect minimal analytics and do not track for advertising unless you explicitly consent (see Cookies section).

- Directly from you when you complete a contact form, book a session, or communicate by email/Zoom.
- Through a scheduling platform if you book online (data you enter there flows to us).
- Through payment records when you purchase a package.
- Through website analytics or cookies.
- Why we use your data (purposes)
We process personal data so we can:
- Respond to enquiries and provide requested information about coaching services.
- Deliver coaching programmes you purchase (including scheduling, preparation, and follow‑up support).
- Manage payments, invoicing, and financial records.
- Maintain basic coaching notes so we can support you effectively across sessions.
- Communicate changes, session reminders, and service‑related updates.
- Send optional educational or marketing emails when you’ve chosen to receive them.
- Improve our website, services, and client experience (aggregated or de‑identified insights where possible).
- Meet legal, financial, and regulatory obligations (tax, accounting, records).
- Our lawful bases for processing
Under the UK GDPR, we must identify a lawful basis for each type of personal data processing. Below is how we apply them at Shingai Life Coaching:
| Purpose | Lawful Basis | Notes |
| Responding to enquiries | Legitimate interests (responding to individuals who contacted us) | You initiate contact; minimal data used. |
| Booking a call / providing coaching | Contract (to take steps at your request & deliver services) | Applies when you book paid coaching. |
| Coaching session notes & support | Legitimate interests | Needed to deliver quality, continuity, and safe practice. |
| Payment + invoicing | Legal obligation | We must retain certain records for tax/accounting. |
| Marketing emails (newsletter, updates) | Consent | You can withdraw any time via unsubscribe. |
| Website analytics (non‑essential cookies) | Consent | Captured via cookie banner if used. |
These bases align with the UK GDPR’s requirement to be transparent, choose appropriate lawful grounds, and enable withdrawal of consent where used.
- How long we keep data (retention)
We keep personal data only as long as needed for the purpose collected, plus any period required by law (e.g., tax records). Draft retention schedule (customise before launch):
| Data Type | Typical Retention | Rationale |
| Enquiry emails (no booking) | 12 months | Track repeat enquiries; periodic clean‑up. |
| Coaching client records (active + archive) | 7 years from last session | Good‑practice window for professional records/documentation; aligns with many health/financial record norms. Adjust if advised. |
| Financial records (invoices, payments) | 7 years | HMRC record‑keeping expectations. |
| Marketing list data | Until unsubscribe or inactivity 24 months | Consent‑based; remove inactive contacts. |
| Cookie/analytics data | Per tool default or 14 months | Configure in analytics settings. |
Storage limitation and data minimisation are core GDPR principles; delete or anonymise when no longer needed.
- Who we share data with (processors & partners)
We use trusted service providers to help us operate. They only process your data on our instructions and must keep it secure. Likely processors (confirm & customise):
- Website hosting platform / CMS.
- Email service (domain email provider).
- Scheduling tool (e.g., Calendly, Acuity, Practice).
- Video meeting tool (Zoom, Teams, etc.).
- Payment processor (Stripe, PayPal, bank transfer provider).
- Cloud storage (encrypted notes, if used).

We do not sell your personal data. We may disclose information if required by law or to investigate fraud, security, or safeguarding concerns.
- International data transfers
Some of our service providers may store data outside the UK (e.g., US‑hosted SaaS tools). Where this happens, we rely on appropriate safeguards such as UK Addendum to EU Standard Contractual Clauses (SCCs) or equivalent transfer mechanisms recognised under UK law. We review providers for data protection standards before use.
- Your rights
Under UK data protection law, you have rights over your personal data, including:
- Access – request a copy of your data.
- Rectification – correct inaccurate data.
- Erasure – ask us to delete data where no longer needed (subject to legal retention).
- Restrict processing – pause certain uses.
- Data portability – request data in a portable format (where technically feasible & applicable).
- Object – to certain processing (e.g., marketing, some legitimate interests).
- Withdraw consent – at any time for marketing or cookies collected with consent.
To exercise any right, email info@shingailifecoaching.com. We may need to verify identity. We aim to respond within one month, as required under UK GDPR (extensions possible for complex requests).
- Marketing communications
We’ll only send coaching updates, resources, or newsletter content if you’ve opted in (consent). You can unsubscribe at any time using the link in any email or by contacting us. We won’t add you to a marketing list just because you made an enquiry—unless you clearly ask to receive updates. PECR rules apply to email marketing; consent or soft opt‑in rules must be honoured.
- Cookies & similar technologies
Our website uses essential cookies needed for site performance. We may also use optional analytics cookies to understand how visitors use the site. Non‑essential cookies are only placed with your consent (banner or settings panel). You can change or withdraw consent at any time via your browser or our cookie controls. Guidance on cookies and electronic communications is governed under PECR.
- Data security
We take appropriate technical and organisational measures to protect your data, including password‑protected systems, secure cloud services, and limiting access to personal data. We encourage clients not to send highly sensitive personal or medical information by unsecured email. If we become aware of a data breach that risks your rights and freedoms, we will assess and, where required, notify the ICO and affected individuals in line with UK GDPR obligations.
- Complaints
Please contact us first if you have concerns about how we handle your data: info@shingailifecoaching.com. If you remain concerned, you have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection. Visit the ICO website to learn how to raise a concern.
